Photography contest Rules

Article 1: Organization and context

A picture contest will be organized associated with the M-Fed 2019 Workshop & Conference, held in Dijon from 28 to 30 October, 2019.

Article 2: Dates

The contest officially opens on February 13 2019. Participants can submit photographs for this contest until September 27, midnight local time (UTC/GMT +2). The vote will occur during the meeting, from 28 to 29 October, 2019. The results will be announced at the closing ceremony of the meeting on October 30, 2019, and then will be posted on the website (www.microbialites2019.com).

Article 3: Participants

All participants of the M-Fed 2019 meeting can submit a photograph. Each candidate is allowed to submit one single picture.

Article 4: Theme

This contest focuses on the theme “Microbes on Earth and Beyond”. Submitted photographs must be related to the themes discussed during the meeting (conferences and workshop)

Article 5: Picture Contest submission

In order to participate in the M-Fed 2019 Photo Contest, it is mandatory to fill in the contact form (or is it a submission form?) available on the website (www.microbialites2019.com).
Submissions that do not follow these criteria will not be considered.

The following information is required:

  • Name and First name of the author
  • Email address
  • Affiliation
  • Physical address
  • Title of the photograph
  • Date photograph was taken
  • A text (in English), as accurate as possible (max. 1000 characters), describing the origin and/or the context of the photograph.
  • Upload your image:
    • Accepted format: JPEG
    • Size: max. 12 Mb
    • Color or black & white

No signature should be visible on the photography to warrant the impartiality of the Committee. Photographs cannot have been published in a scientific journal, magazine or electronic medium.

Article 6: Preselection, exhibition and vote

Article 6.1: Preselection

Once the submission deadline has passed, 15 pictures will be preselected by the Organizing and Scientific Committees based on their relevance, quality and artistic sense.

Article 6.2: Exhibition

The 15 preselected photographs will be on display during the M-fed 2019 Conference & Workshop meeting for the participants to view. In addition, a virtual gallery of the 20 preselected photos will be added to the website (www.microbialites2019.com).

Article 6.3: Vote

All the participants of the M-Fed 2019 Conference & Workshop meeting will be able to vote on October 28 and 29, 2019. A paper ballot will be included with the congress package that all participants will receive when registering. The completed ballots can be deposited in the ballot box at the registration desk (provided for this purpose).

Article 7: Awarding of prizes

The three photographs which receive the most votes will be awarded.

Article 8: Announcement of the winners

Participants will be informed of the acceptance of their submission by email to the address given in the photography contest submission form.

The winning photograph will be announced on October 30, 2019, during the closing ceremony and will be posted on the M-Fed 2019 Conference & Workshop website. A personal email will be sent to each winner to inform her/him of her/his prize.

Article 9: Promotion

The Organizing Committee retains the possibility of publishing the name and photographicture of the winners for advertising or public relation purposes without any remuneration. Similarly, the Organizing Committee may publish or display the photographs of all participants on any medium of its choice without consideration other than indicating the name of the author.

Article 10: Personal Data

Personal data collected through participation in this photography contest are registered and can only be used by the Organizing Committee for purpose of to the contest and awarding prizes. In compliance with the French Data Protection Act of 6 January 1978, amended by the Act of 6 August 2004 on the processing of personal data and the protection of individuals, participants can access, correct or delete their personal data. All the requests must be sent by email to contest@microbialites2019.com.

Article 11: Liability

Participants in this contest agree that the only obligation of the Organizing Committee is to submit the submitted photos to the jury, provided that their photograph complies with the Contest Rules.

Submission received after the deadline (September 27, 2019, midnight local time UTC/GMT +2) will not be considered. Participants should be aware and accept the limitations of the Internet regarding its technical performance and the response time required to view or transfer this data.

The Organizing Committee cannot be held responsible of any issue resulting from the participation in this contest, whether technical (e.g. hardware or software problem) or fraudulent (e.g. computer viruses contamination, possible fraudulent use of these data), among others.

Article 12: Case of force majeure / legal reserves

The Organizing Committee cannot be held responsible in case of force majeure or event beyond its control, modification, early closing or cancellation of the contest. The Organizing Committee may need to verify that the participants have complied with the rules of this contest and invalidate the applications involving inaccurate or fraudulent declarations.

Article 13: Issues

The rules of this contest are subject to French law. All application problems or differences in interpretation of the rules will be resolved by the Organizing Committee. All questions must be sent in writing to the attention of the Organizing Committee. No issue will be considered after a period of eight days after the closing of the contest.

Article 14: Consultation of the rules

Participation in this contest implies acceptance of these rules. The rules of this competition are published on the M-Fed 2019 Workshop & Conference website: (www.microbialites2019.com).
